Getting Started
Quick Start
  • Open the navigation offcanvas by clicking your name in the top-right corner.
  • From there you can access Pilots, Mechanics, Drivers, Aircraft, Vehicles, and more.
  • Use the Wiki link for company-specific documentation.
  • Go to your Dashboard (Company name or home) for an overview of your company.
Pilot Logs (Activity Logs)
What are Pilot Logs?

Pilot logs (activity logs) record your daily flight activity: aircraft, Hobbs times, flight hours, projects, and more. Data is validated and used for reports, stats, and payroll.

How to Create a Pilot Log
  1. Go to your user profile (click your name in the offcanvas, then select yourself).
  2. Click Activity Logs or the Logs tab.
  3. Click New Activity Log or use the date-based wizard.
  4. Enter aircraft, Hobbs start/end, project, and other required fields.
  5. Save. Your log will update aircraft totals and feed into reports automatically.

Tip: Use "Duplicate Previous Day" to copy your last log and adjust times—saves time for similar days.

Driver Logs (Groundcrew Logs)
What are Driver Logs?

Driver logs track daily locations, duty times, mileage, ending odometer, and vehicle maintenance for mechanics and groundcrew. Data feeds DOT reports, payroll, and aircraft ops reports.

How to Create a Driver Log
  1. Go to your user profile.
  2. Navigate to Activity Logs or Daily Logs.
  3. Create a new log and select your vehicle, project, duty times, and odometer readings.
  4. Add any vehicle maintenance or discrepancies if applicable.

Tip: Enter odometer readings daily to keep maintenance schedules accurate.

Daily Logs & Rest/Duty
Daily Log Overview

Daily logs combine pilot and driver activity into a single view per day. They track rest periods, duty times, and validate against FAA rest/duty limits.

Key Features
  • Rest & Duty Validation: Flight Record warns you if you exceed limits.
  • Extended Time: Document extended duty with notes for payroll.
  • Travel Days: Log travel days for per diem and payroll.
  • Log Breaks: Record breaks within your duty day.

Tip: If you see a validation warning, add a note explaining the hours—especially if they differ from other crew.

Time Clocks
Using the Time Clock

Time clocks let you punch in and out for accurate time tracking. Use the Time Clocks section from your profile or dashboard.

  1. Navigate to Time Clocks.
  2. Click Clock In to start your shift.
  3. Click Clock Out when done.
  4. View your time clock report for a summary of punches.

Tip: Time clock data can integrate with payroll—check with your admin if enabled.

Documents & Training
Documents

Flight Record tracks documents for pilots, drivers, vehicles, aircraft, and equipment. Common types: medicals, licenses, training certificates, insurance, DOT, agency cards.

How to Upload a Document
  1. Go to your profile or the relevant asset (vehicle, aircraft, etc.).
  2. Open the Documents tab.
  3. Click Add Document or New Document.
  4. Select the document type, enter expiration date if applicable, and upload the file.
Training Records

Track check rides, training events, and certifications. Flight Record sends reminders when documents or training are expiring.

Tip: Add expiration dates so you get alerts 30 days before renewal.

Pilot Logbook
Pilot Logbook

Your logbook tracks airframe experience, flight hours (solo, mountain, external load, offshore, etc.), and auto-updates as you create pilot logs.

How to Use
  1. Go to your profile.
  2. Click Logbook.
  3. Add pre-Flight Record times if needed; new logs auto-update totals.

Tip: Use logbook numbers for quals, carding, insurance, and promotion reviews.

Scheduling
How Scheduling Works

Admins schedule pilots and drivers to aircraft and projects. You can view your schedule from your profile or the company aircraft schedules.

For Schedule Admins
  1. Go to Aircraft Schedules or Planning Board from the dashboard.
  2. Select month/year and view project schedules and crew coverage.
  3. Assign crew to aircraft and projects; add itineraries for travel details.
  4. Crew receive email alerts when the schedule changes.

Tip: Use the Planning Board for a visual overview of pilots, aircraft, and projects.

Travel & Itineraries
Travel Coordination

Itineraries store flight, lodging, and car rental details. When management updates travel, travelers get email alerts.

How to View Your Travel
  1. Go to your profile.
  2. Open the Schedules or Itineraries section.
  3. View upcoming trips with flight, hotel, and car info.
Adding Itinerary Details

Admins add itineraries to crew schedules. Include confirmation numbers, times, and locations for handoffs.

Tip: Check the Travel Planning report from the dashboard for company-wide travel overview.

Time Off Requests
Requesting Time Off
  1. Go to your profile.
  2. Open Time Off Requests.
  3. Click New Time Off Request and select dates.
  4. Submit. Admins can approve or deny; approved requests appear as "off" on the schedule.

Tip: Submit requests early so the schedule can be adjusted.

Expense Tracking
What are Expenses?

Expense tracking lets you log travel and work-related costs (lodging, rental car, fuel, mileage, airfare, parking, and more). You can attach receipts and mark expenses as company-paid, reimbursable, out-of-pocket, or billable.

How to Add an Expense
  1. Go to your profile and open Expenses.
  2. Click New Expense (or use Scan Receipt to auto-fill from a photo).
  3. Choose category, date, amount, project if applicable, and attach a receipt.
  4. Set status (e.g. Reimbursable) and save.
Viewing & Filtering

Filter expenses by month/year, date range, category, or unreimbursed only. Expense data can feed into payroll and project reports.

Tip: Use Scan Receipt to quickly capture amount, date, and vendor from a receipt image.

Reports
Report Capabilities

Flight Record includes many reports: personnel and pilot status, hours and days worked, payroll summaries, expense reports, operations and aircraft stats, scheduling, training, and more. Some reports are viewable in the app; others can be generated as PDF or sent by email on a schedule.

Finding Reports
  • Reports (from the app menu): Browse and search all available reports by keyword.
  • Report Finder (company or your profile): Search by name or topic to run a specific report.
  • Favorites: Save frequently used reports for quick access.
For Admins

Company admins can subscribe to scheduled reports (e.g. payroll status, crew schedule, operations overview) so they are emailed automatically. Manage report subscriptions from the company Reports area.

Tip: Use the report search to find reports by role (pilot, mechanic, payroll) or topic (hours, documents, scheduling).
